# Corporate Workshop Bookings: Quotes, Headcounts and Payments

A company asks for a workshop for 14 people, then changes the group to 18 and requests an invoice. Staff need to know which quote was accepted, whether the room is confirmed and how many sets of materials to prepare.

## What a corporate booking actually involves

1. **Inquiry.** Headcount, a date range, a budget, sometimes a purchase order number.
2. **Hold.** You block a date while the buyer gets approval.
3. **Quote.** Per-head price, room fee, add-ons like drinks or extra materials, tax.
4. **Deposit.** A card payment or a bank transfer against an invoice.
5. **Details.** Names, dietary needs, accessibility, arrival time.
6. **Final headcount.** Usually different from the quote.
7. **Balance.** Charged or invoiced before the event.
8. **Delivery.** Staff know what to prepare and for how many.

## What the software has to do

Hold a date without selling it. Make the agreed price and collection point explicit. Take a deposit by card and record the balance due. Collect participant details from the buyer or from each participant. Let the headcount change and recalculate. Show staff the final list.

## Carry the agreement into Gomry

Keep the accepted total, deposit received and remaining balance under the booking reference. Test how a group buyer supplies participant information and how staff receive subsequent changes. Keep invoicing and purchase-order requirements in the accounting workflow that supports them.

## Questions operators ask

**Should corporate events be instantly bookable?**
Only if your price per head and your room fee are fixed. If you negotiate, keep approval on.

**What makes a quote clean?**
One line per item, the headcount it was priced on, the deposit, the balance due date, and what happens if the number changes. Put it in the approval message so the buyer accepts it before the deposit is taken.

**Can the buyer fill in details for the whole group?**
Test form delivery with a group buyer. Decide which answers the organiser can supply and which participants need to provide.

Take one current enquiry through the quote and final-headcount stages. Have delivery staff prepare from the confirmed record, then reconcile the payments with the person handling invoices.
