# Membership Management for Classes and Experiences

A four-visit monthly plan creates two records: the recurring payment and the visits the customer can still book. They need to remain understandable after a cancellation, a failed renewal or a change of plan.

Define the offer first, including the sessions it covers. Then choose software that can maintain both the billing record and the access rules your customers will use.

## Choose the promise before the price

Every membership is a set of promises. Examples include four sessions per month, unlimited off-peak access, early booking for workshops, member pricing, or one guest pass. Each promise must become a rule the customer can understand and the system can enforce.

## The lifecycle

### Join

Show price, renewal frequency, included access, cancellation, and important limits before payment.

### Book and attend

The system checks eligibility, reserves capacity, consumes the right entitlement, and records attendance.

### Change

Plan upgrades, downgrades, pauses, and location changes need defined effective dates and prorating rules.

### Recover

Failed renewal should create a visible state, customer notice, retry path, and access rule. Avoid treating a temporary card failure like voluntary churn.

### Leave

Cancellation should be clear, preserve required financial records, stop future charges, and explain what happens to unused access.

## Measure both revenue and usage

Recurring revenue alone can hide operational pressure. Track active members, renewal, failed payments, visits per member, peak utilization, waitlist frequency, unused credits, late cancellations, and conversion from first visit.

Suppose 100 members receive four credits monthly: the business has issued up to 400 visits. If 65% are used, that is 260 visits; if usage rises to 85%, capacity demand becomes 340. Growth planning needs both numbers.

If your plan requires member pricing, free event entry, pauses or monthly credits, demonstrate each rule before selling it. Treat the access workflow as a separate check from payment collection. ## Frequently asked questions

### What is the difference between credits and packs?

Credits are units of entitlement; a pack is one way to sell them. Memberships may issue new credits on each renewal.

### Should unused credits roll over?

That is a business-policy decision. Model customer value, capacity, liabilities, and simplicity before choosing.

### Can members attend paid events?

Yes if the rules allow included access, member pricing, or presale. The system should distinguish each benefit.

### How do I migrate memberships?

Reconcile identity, consent, plan, status, renewal date, payment arrangement, balances, future bookings, and exceptions before cutover.
