# Private Event Booking Software: From Enquiry to Confirmed Group

A group asks for a private workshop, changes its headcount and wants a different date. The person preparing the room needs the final agreement, while the buyer needs to know when the booking becomes confirmed.

Keep the conversation personal. Record availability, scope and payment separately so the next staff member can deliver what was agreed.

## The workflow to build

### 1. Qualified inquiry

Collect preferred dates, group size, occasion, format, accessibility needs, budget range, and contact details. Keep the form short enough to finish; staff can qualify nuance later.

### 2. Temporary availability

An inquiry should not silently block the calendar forever. Use a visible hold with an owner and expiration time while the team prepares an offer.

### 3. Quote and options

Show the base package, capacity, duration, included items, taxes, service charges, optional add-ons, and cancellation terms. Version the quote when scope changes.

### 4. Deposit

Once accepted, the customer pays a defined amount and receives confirmation. The calendar changes from tentative to booked, and the transaction attaches to the event record.

### 5. Balance and information

The system tracks the due date, remaining amount, participant forms, choices, final headcount, and internal tasks. Staff should not recalculate the balance from an email thread.

### 6. Delivery and follow-up

The operating team receives the final run sheet. Afterward, the customer gets the agreed follow-up, receipt, and a relevant rebooking path.

## State model

| State | Owner | Required next action |
|---|---|---|
| New inquiry | Sales | Qualify and respond |
| Tentative hold | Sales | Send quote before expiry |
| Quote sent | Customer | Accept, decline, or request change |
| Deposit due | Customer | Pay before deadline |
| Confirmed | Operations | Collect details and prepare |
| Balance due | Customer | Complete payment |
| Delivered | Operations | Reconcile and follow up |

This simple model makes stalled bookings visible.

## What to test

Check calendar conflict rules, quote changes, partial payments, refunds, tax, add-ons, form reminders, staff permissions, customer communication, and reporting. Ask what happens when the date changes after the deposit or final headcount falls below the quoted minimum.

## A time-and-conversion model

If 30 inquiries per month take 25 minutes of coordination each, the studio spends 12.5 hours before delivering any event. At $35 per hour, that is $437.50 in monthly admin. Better workflow may also improve response time, but do not invent a conversion uplift; measure inquiry-to-quote and quote-to-deposit before and after the change.

## Set up the confirmed event in Gomry

An event can hold ticket classes and a capacity, while approval-required tickets provide a review step. Before using this for a private booking, demonstrate how the request, agreed price and payment are connected. Do not infer that approval creates a time-limited room hold or converts a card authorization into a deposit.

Keep the accepted quote and booking reference available to the team. If the balance uses a separate payment, reconcile it against the deposit and final total. The [deposit and balance guide](/blog/event-software-deposits-payment-plans/) explains the records needed for that approach.

Test participant information with a group buyer: the payer may not know every guest's requirements. Check how answers reach staff and how corrections are handled. A private group sharing space with public sessions also needs an explicit availability check, as covered in the [workshop guide](/blog/workshop-booking-software/).

## Frequently asked questions

### Should customers book private events instantly?

Only when availability, scope, and pricing are standardized enough. Complex events often need a qualified inquiry and fast approval.

### How large should a deposit be?

That is a commercial and legal policy, not a software default. Base it on commitment, preparation costs, cancellation risk, and local rules.

### Can the final price change?

Yes, if the agreed terms allow changes for headcount or add-ons. The system should preserve the original quote and show every adjustment.

### What should staff see?

The confirmed schedule, group size, package, choices, participant requirements, payment state, responsible staff, and exception notes.

Take a current private enquiry into the setup review. Follow it through the quote, payment and final staff brief, and assign any steps that still need to be handled outside Gomry.
