# Run Club Management Software: Sessions, Payments and Attendance

A club may keep its conversation in WhatsApp or Strava while taking bookings for coached sessions and selling tickets to a social. The organiser needs to know who booked each activity, what they paid and which participants arrived.

Use software for those records where it helps; keep the community channel that members already use.

## What stays where

Keep the conversation in WhatsApp or Strava. Move three things into software: money, capacity and attendance. Who has paid for what, how many spots are left on Tuesday, who actually showed up.

## What a run club sells

- **Coached sessions.** Track or hill work, capped by the coach, paid per session or by pack.
- **Membership.** A monthly plan covering coached sessions, member pricing on events, early access.
- **Socials and events.** The brunch, the party, the group entry to a race. Ticketed, often with a guest price.
- **Free runs.** Still free, still worth counting, because a route change or a cancellation needs to reach the people who signed up.

## What the software has to do

Cap a session and run a waitlist. Sell a pack that works across sessions. Renew a membership monthly and apply member pricing automatically. Sell event tickets with a guest tier. Register people for free runs so the club knows who is coming. Send the route change to everyone signed up, on the channel they read. Check people in on a phone at the meeting point.

Decide what information is needed and verify the actual staff permissions before collecting it. Test the record the team will use on the day.
