Tour and activity software has to sell something the operator can actually deliver: the right departure, enough available places and the staff or equipment required. Gomry fits directly sold scheduled activities, particularly a local program where customers buy prepaid return visits. An operator depending on travel resellers or shared equipment needs more than that direct booking model. Three things can limit the same departure

A tour can have passenger places remaining while its vehicle or guide is unavailable. The booking system needs to reflect the constraint that actually determines whether the operator can host the customer. A calendar capacity limit alone does not establish resource conflict handling.

Use one real departure to compare products. Sell its final available place through the direct channel, then inspect availability through a reseller channel. If equipment is shared, attempt a conflicting allocation. These are demonstrations of the operator’s configuration, not claims that every listed product behaves identically.

Direct bookings and OTA distribution

A direct reservation is a purchase through the operator’s own sales route. An OTA booking introduces another seller and often separate commercial terms. The operator needs the correct date, participant information and remaining inventory regardless of where the sale began.

Equipment rentals or shared resources: include Checkfront and Peek Pro. Show allocation across time, the customer’s return obligation and what happens when an item becomes unavailable.

Departures with detailed guest operations: include FareHarbor, Xola and Rezgo. Staff may depend on manifests, resources, waivers or information that must be available before the activity starts.

Compare revenue after distribution and operating costs

Use the same direct and reseller sales mix for every proposal. Separate the booking software, payment processing, channel-related charges and reseller commission. A lower direct-booking fee says little about total cost if most sales arrive through a different commercial arrangement.

Include the required POS, payment methods, staff access and resource modules. Do not assume a headline plan includes every distribution connection. Where a price requires a quote, retain it as quote-specific rather than inserting a universal rate into a comparison.

Moving departures without losing obligations

Before switching, reconcile future bookings by sales source, date, participant count and payment state. Preserve reseller references and communications, not just the customer’s name. If customers have paid deposits or hold unused credits, document exactly what remains owed or redeemable.
